From families:

• Full name and contact details (phone, email, address area)
• Information about your household, children's ages, and caregiving requirements

From caregiver candidates:

• Full name, contact details, date of birth, and residential area
• Employment history and professional references
• Government-issued identification documents
• Medical clearance documentation and health declarations
• Training and certification records
• Interview notes and assessment records

3. Why We Collect It

We collect personal information for the following purposes:

• Placement: To match families with caregivers whose skills, experience, and values align with household needs
• Verification: To conduct identity, reference, and background checks as part of our standard screening process
• Medical clearance: To ensure caregivers meet our health and fitness standards before placement
• Communication: To keep both parties informed throughout the consultation, matching, and placement process
• Safeguarding: To maintain records that support the safety and wellbeing of children and families

4. How We Store It

Your information is stored securely in our internal systems, accessible only to authorised TRN staff directly involved in the placement process. We do not store payment card details. Physical documents, where applicable, are held securely at our registered office.

We retain records for a reasonable period following the completion of a placement to support quality assurance, dispute resolution, and legal requirements. You may request deletion of your records at any time (see Section 7).

5. Who Has Access

Access to your personal information is restricted to:

• TRN Placement Consultants and Directors involved in your case
• The TRN operations and administrative team on a need-to-know basis

We operate a strict privacy-by-design approach. Families are never given a caregiver's full surname, phone number, home address, medical information, or salary details through our documents. Caregivers are never given a family's full name, home address, or personal financial information through our documents. All sensitive contact details are exchanged directly and only at the appropriate stage of placement.

6. What We Never Do

• We do not sell your personal information to any third party
• We do not share your information with advertisers or marketing platforms
• We do not use your information for any purpose beyond the placement and operational purposes described above
• We do not share medical clearance details with placement families
• We do not share family household information with caregivers beyond what is operationally necessary for their placement

We may be required to disclose information to regulatory or law enforcement authorities where legally obligated to do so. In such cases, we will comply only to the extent required by law.

7. Your Rights

You have the right to:

• Access — request a copy of the personal information we hold about you
• Correction — ask us to update or correct inaccurate information
• Deletion — request that we delete your personal information, subject to any legal retention requirements
• Withdrawal of consent — withdraw your consent to processing at any time (note: this may affect our ability to continue your placement)
